Email Marketing​

Email marketing is one of the most effective, efficient, and powerful tools we use to connect Loyola University Chicago and its constituents. 

UMC is here to care for the University’s internal email marketing and to advise you on your email initiatives. 

We are always working to improve the effectiveness of our communications, comply with the CAN-SPAM Act, and regulate the flow of email to our constituencies to ensure the medium remains an effective and relevant marketing and communications tool.

Institutional Newsletters

UMC leverages an audience-segmented approach for email newsletters to best serve our audiences, including students, faculty, staff, and families of students. Audience-segmented newsletters, as opposed to department-segmented newsletters, encompass all updates relevant to a specific audience from across departments.

Loyola News

Loyola News is an email newsletter that UMC distributes to faculty, staff, and students on a weekly cadence during the academic year. It features news and updates from around the University, profiles of faculty and staff, event announcements, and other relevant information. 
 
If you have an idea for a story, an announcement, a feature, or an event, we encourage you to contact UMC. We welcome submissions from all members of the Loyola community.

Inside Loyola

Inside Loyola is an email newsletter designed to help faculty and staff access the information they need to maximize their Loyola experience. Distributed every other Tuesday, except on campus holidays, Inside Loyola features news, events, and information relevant to faculty and staff. All Loyola faculty and staff are automatically subscribed to this newsletter.

Inside Loyola complements, but does not replace, Loyola News, which primarily focuses on University-wide announcements and broad news about Loyola University Chicago.

The Kettle

The Kettle reaches all undergraduate students and Arrupe College students on a bi-weekly basis (every other week) throughout the academic year. Rambler Families

Rambler Families is Loyola’s parent-focused newsletter. Each issue includes important information about academics, upcoming events, and other updates valuable to our parent and family community. Special Broadcasts and Emails

University-wide news alerts and updates, including messages from the Office of the President, are sent by University Marketing and Communication (UMC) via Poppulo to all students, faculty, and staff. UMC manages a monthly calendar to ensure strategic delivery of communications.

Requests for special broadcasts are considered on a case by case basis. Requests, along with a draft of the message, should be submitted at least two weeks in advance so UMC can properly schedule and review. Please email Emily Ramstetter to discuss your request.  

Use of the University's mass email system to send messages to large internal audiences is governed by the following principles:

  • The email must pertain to a majority of the desired recipients
  • The message must assist in or support the recipients' ability to conduct their business or education at the University
  • The information should be deemed critical enough to distribute to the entire audience

A few examples of official University emails are:

  • Messages from the president or provost
  • Messages regarding benefits, employment, or policies
  • Alerts and critical information relating to safety, health, or welfare

Emails distributed to 1,000 or more campus email recipients are considered special broadcast. These are reserved for institutional communications and permitted uses are specifically defined below:

  • Messages from the Office of the President or Office of the Provost.
  • Time-sensitive messages from a Senior Vice President.
  • Time-sensitive special notices of an unplanned nature from the Office of Marketing and Communication:
    • unforeseen health and/or safety issues
    • the death of a community member
  • Messages which contain required information as a condition of employment and/or enrollment, which is considered on a case-by-case basis.
  • Messages generally must be of a time-sensitive nature.
  • Messages from the head of an officially recognized program, department, division, and/or other campus unit to its members and/or constituents. Messages must be related to the unit’s business purpose and originate from the unit head’s email address. If the recipients are distributed among more than one division, it is not permitted unless it qualifies as one of the preceding permitted uses.

All emails that end in an @LUC.edu address are required to receive official email communications sent by the University. In most cases, there is no option for @LUC.edu email accounts to unsubscribe from official University communications and these emails are not considered spam under applicable laws.
