URES Symposium Poster Creation/Submission Instructions

Welcome! As you prepare for the annual Undergraduate Research and Engagement Symposium (URES) poster symposium, let Digital Media Services be your guide for poster templates, submission and on-campus printing for ease of pickup at our Lake Shore or Water Tower locations.

POSTER SUBMISSION DEADLINE
All posters must be submitted no later than Saturday, March 29th at midnight to guarantee printing before the April 5th URES Symposium!

2. Design Requirements

Be sure to include all of the elements in your research poster:

  • Title of Research Project, Your Name, and Your Institution
  • Introduction: Explain the purpose of the study
  • Objectives: The objective(s) of your research project/poster
  • Methods: Describe the research methodology and research design of this study
  • Results: Describe and explain the results from your data analysis
  • Conclusion: Discuss the conclusions of your study and impact on future research
  • References: Be sure to list all relevant references and citations
  • Images and Charts: Using images, charts, diagrams and other related graphics to help support your research and make a compelling design

Visit University Marketing & Communications pages for Creative Standards and Brand Components for more design considerations such as official University colors, usage, and more. For use of Loyola's Logo, students must request this from UMC directly or as provided by a Faculty or Staff sponsor.

Design Tips! With many options on how to design and present your material, consider these recommendations:

Use a white background to ensure readability/accessibility
Use standard, easily readable fonts like Arial, Aptos, Calibri, Times New Roman, Helvetica, etc.
Use boxes to delineate sections or blocks of text
Use color consistently, lots of colors can be hard to focus, use colors sparingly to help highlight important aspects
Use high-resolution images to compliment the text. When inserting images, don't copy and paste. Instead, save your image first to your desktop, then use Insert to directly insert and include that image at it's original resolution.
Leave at least 0.5 inch margin around your poster to avoid text or images being cropped
To preview your poster, open the file using Adobe Reader or Adobe Acrobat, under the View/Zoom, select Actual Size. Make sure there are no pixilated images or quality issues. 

3. Save Often

Make sure to save your .PPTX file regularly as you continue to design it to avoid losing any unsaved work. We encourage you to save your OneDrive or similar cloud storage (Google Drive, Dropbox, etc) to easily access and continue updates

4. Save as PDF

When your poster is completed, save it as a PDF to help retain any custom fonts used. Select File > Save As PDF (or from PowerPoint online select File > Save as > Download as PDF) to export it as a PDF for submission.

Make sure your PDF file is saved with Your Name or UVID first. For example, StevenTudent_MyResearchProject2024.pdf or student_postertitlehere.pdf. As we receive hundreds of orders, this helps to avoid any confusion when processing and printing your order.

5. Submitting Your Poster

Submitting the Poster 

Note: Have your poster completed and ready to submit before opening the submission form. Having the form open for longer than 15 minutes may cause the form to time-out and cause an error uploading.  

Go to the Poster Printing Request form and sign in with your UVID and password 

Fill in the following fields on the form for Poster Details: 

  • Quantity: 1
  • Length: 42
  • Width: 42
  • Paper Material: Matte  (the higher cost of glossy is not covered)
  • Poster Trimming Options: Trim to Printer Margin
  • Special Instructions: URES Poster for 2025 approved by Kevin Kaufmann 


Upload your poster file 

  • Only submit PDFs—although the form will accept other file formats, submitting as a PDF ensures there are no discrepancies between fonts, colors, images, etc. that may delay printing or affect the quality of your poster 
  • If your file is over 10MB, select that option to share a link. Upload your file to OneDrive and make sure you change the share settings to “anyone with the link can access” 

Fill in the following fields on the form for Pickup Details: 

  • Contact phone: Your personal phone number in case we need to contact you
  • Pickup location: Either LSC or WTC, but the symposium is on LSC
  • Payment method: Account code
  • Account code: SPRING25LUROP
  • Budget admin UVID: kkaufm2
  • Budget admin name: Should auto-fill to Kevin Kaufmann
  • Someone else will pick up my print: Check this box and write the names of your group members if you anticipate someone other than you picking up the poster 

You will receive an email confirmation for your submission and your poster order number. Posters will be rolled and stored in plastic sleeves for our ease of storage, and your ability to easily transport. We do not offer poster tubes, but if you are interested in better protecting your poster for subsequent presentations, consider retaining the plastic sleeve and/or looking to stores like Walgreens, UPS, Kinko's or art stores like Blick or Utrecht Arts.
