December 2018 Human Resources Updates

Dear Faculty and Staff,

Human Resources is pleased to provide updates and announce new programs and services for our Loyola community. Please review the information below to learn more about Loyola’s upcoming University Christmas celebration and how you can receive complimentary tickets to attend an upcoming men’s basketball game. In addition, as we prepare for benefit offerings in 2019, review some key health and wellness program information highlighted below.

Celebrate with Us on December 19 at the University Christmas Reception
Join your colleagues at the annual University Christmas Reception on Wednesday, December 19, from 2 to 4 p.m. in the Damen Student Center at the Lake Shore Campus. Additional details are available online, including how to RSVP for shuttle service from the Water Tower and Health Sciences campuses, and how to sign up to participate in University Staff Council’s Holiday Spirit Contest.

Faculty and Staff Appreciation Day—Request Your Men’s Basketball Tickets
Athletics is excited to announce that the annual Faculty and Staff Appreciation Day will be Sunday, December 16. Faculty and staff can request two free men’s basketball tickets by visiting the Athletics website for single tickets to men’s basketball games, and entering promo code LUCFS. Tickets must be claimed in advance of game day. Please note: This invitation is restricted to faculty and staff members, so we ask that you do not share this information on social media.

December Closure Days
The University will be closed the entire week of Christmas, December 24–28, and will reopen on Wednesday, January 2, 2019. We know that some staff members will be needed on campus to provide support during this weeklong closure. That communication should take place with your supervisor. Any staff member required to work the three closure days should coordinate with their supervisor to schedule alternate time off 45 days before or after the closure days. If appropriate, when completing your timecard, please use the pay code “Closure Pay” in Kronos.

Reminder: Use Your Flexible Spending Account before December 31
If you have remaining funds in your flexible spending accounts (FSAs), be sure to use them prior to December 31. Any money that you do not use before the end of the year will be forfeited. FSA dollars can be used throughout December for many eligible health care expenses, including online at the BenefitExpress FSA store. For detailed information regarding eligible expenses, review IRS Publication 502.

PPO 3 HSA Medical Insurance Cards Coming Soon
Faculty and staff members who are newly enrolled in the PPO 3 HSA medical plan for 2019 will receive new insurance cards in the mail this month. Please watch your mailbox for these new ID cards from Blue Cross Blue Shield and CVS Caremark. If you did not change your health insurance for 2019, you can continue to use your current ID cards in 2019.

Review Your First Paycheck in January 2019
Review your first paycheck in January to ensure deductions have been correctly applied for your elected benefits, especially if you made changes to your benefits during Open Enrollment or were newly hired. Please contact Human Resources at benefits@LUC.edu with any questions.

Get Started with Your 2019 Health Savings Account (HSA)
If you enrolled in the new PPO 3 HSA medical plan, you will receive a welcome kit and a personalized, chip-enabled debit card from BenefitWallet in the mail soon. To receive the greatest benefit from your Health Savings Account (HSA), we encourage you to create a user ID and password for BenefitWallet’s member portal, where you can easily and securely manage your account. When you receive your welcome kit and debit card, activate your debit card by following the instructions provided on the sticker located on the front of the card. Please review these materials when you receive them so you will be ready to use your account in January. Loyola’s incentive money will be available in your account at the beginning of January. You can update your contribution amount during the year and invest the funds once your account balance reaches $1,000.

2019 IRS Limits—Review Your Contributions
The IRS recently released contribution limits for 2019; some limits have increased to provide a greater opportunity for you to save on a pre-tax basis. The following limits will increase for 2019:

  • 403(b) Defined Contribution Retirement Plan: $19,000 per year (increase of $500 annually; no change to catch-up contributions), visit Transamerica to update your contributions.
  • Transit Benefit: $265 per month (increase of $5 per month), visit BenefitExpress to update your contributions.
  • Health Care FSAs: $2,700 per year (increase of $50 annually); no change to Dependent Care FSAs.

Martin Luther King Jr. Celebration
The Executive Council on Diversity and Inclusion is excited to announce that the 2019 MLK Celebration will take place during the week of January 21, 2019. The theme of this year’s celebration is “Addressing Disparity through Awareness, Advocacy, and Action.” New in 2019, we will have two MLK Service Days on January 21 and 25. Help us help others by volunteering at an MLK Service Day location. Faculty and staff members who volunteer will receive full pay for the day and are not required to use any accrued vacation or personal days. In addition, we encourage you to attend several opportunities on all three main campuses to learn how community members integrate Dr. King’s principles of social justice into their personal and professional experiences.
